Confidential Information

Our entire business is built on trust – we need you to have confidence that the information you share with us in private stays private. We do not disclose any information that you submit directly with your organisation; they never have access to the data.

Instead, we compile aggregated reports for the organisation, summarising the data, and ensuring individual responses are anonymised.

Maintaining Anonymity

We are aware that some questions may feel like they could reveal your identity. For example, if you are the only female member of a team and you select your gender in a survey, you might worry that it would make your answers identifiable. However, we never provide individual responses to organisations.

When we use data, such as gender or ethnicity, we ensure that the minimum group size for any feedback is six people. So, if you are the only female team member, and we want to provide feedback on women in the organisation, we would group your entire department, rather than just your team, as long as there are a minimum of six women in your department. If there are fewer than six women in the department, we would use the entire organisation as a group… and if there are fewer than six women in the organisation, we will not provide gender-specific feedback.

We also take steps to anonymise comments. For example, if you wrote, ‘I needed time off work because all four of my children were ill, and the company didn’t support me‘, we would immediately note that the details (four children) are likely to make you identifiable. Therefore, either we won’t use that quote, or we would paraphrase it to ‘The company didn’t support me when I needed time off for family reasons‘.

What Information is stored

We use your email address to send you survey links, but we never ask for any other personal information such as your name or address.

For some surveys, we may ask for information such as ethnicity, religion, or age. This information is only used for statistical purposes to measure diversity impacts within your organisation.

You have complete control over whether you share this data or not, but we highly encourage as much sharing as possible so that we can help your organisation make improvements that directly benefit you.

Where your data is stored

Our servers are based in the USA (Pair Networks), and all data is stored in a secure, private database. We implement industry-standard security measures to protect your data from unauthorized access, disclosure, alteration, or destruction.
